Job Description and Responsibilities

The HR Compliance Specialist handles and provides support for various HR compliance programs within the organization. This includes; immigration, equal employment opportunity (EEO) and affirmative action programs (AAP) that promote diversity in the workplace. The HR Compliance Specialist also helps develops and communicate company EEO policies and procedures, maintains compliance with fringe benefits, the gifts and hospitality register; and personnel files and data in compliance with applicable legal requirements.

  • Supports effective implementation and administration of compliance processes such as policy acknowledgements, conflict of interest disclosure, fringe benefits and gifts and entertainment register.
  • Helps prepare and deliver compliance related training to help ensure that employees understand and comply with fundamental ethical and company standards, and pertinent laws and regulations.
  • Provide support for internal investigations into allegations of compliance violations or other misconduct by employees.
  • Provide response to internal and external audits, including OFCCP audits.
  • Administer the company’s affirmative action program by gathering and analyzing employee data and submissions to the AAP vendor.
  • Administer the annual pay equity review process including researching data from our AAP vendor, analyzing the data by protected class, and identifying issues; reviewing recommendations with Human Resources and Compensation.
  • Ensures the accurate and timely completion of federally required equal employment opportunity (EEO-1), AAP and veteran workforce reporting.
  • Provide oversight for meeting federal and state requirements related to required employee/applicant posters.
  • Keeps employee records up to date by processing employee status changes in timely fashion.
  • Maintain HQ compliance through employee personnel and I-9 filing
  • Maintain working knowledge of HR legal requirements related to day-to-day operations, reducing legal risks, and ensuring regulatory compliance
  • Conduct research and assist with special projects, as needed

Immigration

  • Lead company immigration case initiatives in both U.S. and Canada.
  • Work in partnership with Immigration Attorney to draft and compile technical descriptions, letters, forms, and petitions to be submitted in support of official U.S. and Canadian immigration processes.
  • Prepare and file domestic and foreign work authorization and visa applications, including but not limited to H-1B, L-1, and TN
  • Maintain and track  the immigration status of employees
  • Effectively communicate with and manage expectations with employees about their immigration status and processes.
  • Work closely with the HR on the hiring, staffing, professional development, and international travel of foreign national employees.
  • Communicate with Consulates and Visa Centers
  • Update HRIS system with approval notices and expiration dates
  • Create and update processes and tools to enable accurate tracking, timely notification, and effective communication of critical business and immigration correspondences



Job Requirements

  • A Bachelor’s Degree in Business Administration, Human Resource Management, or a related field.
  • A minimum of 3-5 years’ experience in human resources.
  • Demonstrable knowledge of Affirmative Action and Equal Employment Opportunity laws, regulations and compliance requirements.
  • Knowledge of applicable federal, state, and local governmental laws and regulations.
  • Must be proficient with the use of MS Excel, PowerPoint, Word and Outlook.
  • Must possess strong Written and verbal communication skills.
  • Must have experience using and gathering data from an integrated HR system.
  • Must have effective communication and interpersonal skills including ability to consult with internal and external customers regarding matters/issues which may be sensitive in nature.
  • PHR or SPHR Certification preferred
