Job Description and Responsibilities

We are currently accepting applications from experienced candidates for an Executive Assistant who will report to the Senior Vice President Portland Business Unit and will provide administrative support to Evraz Portland Senior Leadership Team of up to six people.  This role involves supporting the VP in achieving corporate goals.  You must be able to deal with highly confidential information and work in a fast paced environment.  You are highly organized in keeping things on track and will have strong data management and administrative skills.

  • Provide administrative support; such as, prepare correspondence, presentations, management of reports.
  • Prepare check requests, process invoices and review expense reports.
  • Coordinate meetings, tours and lunches.
  • Coordinates office supply inventory management.
  • Receptionist and switchboard duties.
  • Book travel arrangements.
  • Manage the Senior Vice President Portland’s calendar.
  • Communicate effectively and efficiently both orally and written to all levels of personnel and clients.
  • Ability to review all types of data, reports while extracting, filtering and sorting the data to generate numerous types of reports using Business Intelligence tools.
  • Provide guidance and assistance to other Administrative Assistants.
  • Ability to work in a fast paced environment while meeting deadlines.



Job Requirements

  • Five years’ administrative experience at an executive level.  
  • Must be able to deal with all types of confidential information; such as, reporting and correspondence for environmental, personnel business). 
  • Self-initiating with ability to work with minimal supervision.  
  • Strong planning and organizational skills; able to set/meet goals and deadlines.  
  • Ability to multi-task and prioritize assigned responsibilities.  
  • Excellent written and verbal communication skills.  
  • Ability to professionally handle sensitive and confidential information.  
  • Ability to professionally interact with individuals at varying levels within the organization.  
  • Flexibility and willingness to learn and accept changes in job duties.  
  • Ability to thrive in fast paced environment and work under pressure.  
  • Advanced skill with Microsoft software (Word, PowerPoint, Excel, Outlook).  
  • Excellent math skills, accounting knowledge a an asset.  
  • Ability to handle high volume phone calls.
